Business Manager International Programs

This role manages general business in the International Programs Department, including but not limited to budgeting and cashflow management, contract management, creation and management of departmental policies and procedures, coordination of new hires, onboarding of new staff into the department, cross-departmental coordination and data integrity, and partner management

Essential Duties And Responsibilities (Include But Not Limited To)

  • Budget Management
    • Leads the preparation of the International Programs budget following instructions for the whole Mercy Ships Organization
    • Is responsible for managing the budgeting process for all cost centers in International Programs
    • Liaises with the Finance department to manage the monthly, quarterly, and annual forecasting for the International Programs budget
    • Is responsible for managing International Programs cash flow and departmental expenditure monitoring
    • Works with each International Programs cost center leader to monitor alignments in budgeted vs. actual expenses alignment throughout the year
    • Manages employee expenses (including corporate credit card expense management) for all ICMO direct reports
  • Departmental Policies, Standards, and Procedures
    • Manages and updates, on a yearly basis, the International Programs principles and standards
    • Manages and updates, on a yearly basis, the International Programs policies and procedures
    • Where the above are non-existent, works with the ICMO and the senior directors to create them
  • Diplomatic, Contract, and Partner Management
    • Is responsible for managing vendor and partner relationships alongside the Senior Director of Program Design and the lead of the Programs portfolio to which that contract belongs
    • Maintains and manages an up-to-date contractual documentation for all Programs partnerships
    • Coordinates country-level protocols and accords de sieges, in conjunction with the General Counsel, the director of the Africa Service Center, the Advocacy Manager, and the Mercy Ships Diplomatic Ambassador.
  • Human Resources
    • Maintains a dashboard of new position requests, allowing at-a-glance information for the ICMO and each International Programs director.
    • Creates a monthly report of the status of each position request.
    • Creates and maintains an onboarding packet for new hires into the department, alongside the International Programs departmental assistant.
    • Schedules onboarding meetings for new hires.
    • Leads the preparation of International Programs reports (weekly reports, board reports, and other reports/presentations) for the ICMO.
    • Handles confidential and non-routine information and, when necessary, explain policies.
    • Always maintains confidentiality
  • Interdepartmental Relations
    • Synthesizes output and outcomes data from across the departmental functions on a monthly and quarterly basis
    • Until such function is able to be undertaken by the monitoring and evaluation division, serves as the point person for data requests from Global Branding and other external departments.
    • Coordinates cross-functional meetings with other departments such as marine operations, operations, infrastructure, finance, and human resources for International Programs’ directors and above.
  • Special Projects
    • Leads special projects in the International Programs department as required by the ICMO
  • Other duties as assigned

Education And Experience

The requirements listed below are representative of the education and / or experience required.

  • College or advanced degree in business or management preferred; or at least 10 years’ experience in management of non-governmental or development work
  • Demonstrated experience in budget management; accounting training preferred but not required
  • Demonstrated willingness and aptitude toward learning Mercy Ships specific software, including its data systems.
  • Advanced proficiency with the Microsoft Office suite of programs, especially Excel, PowerPoint, and Access
  • Public health training or experience preferred
  • Successful completion of Mercy Ships Entry Training will be required within the first year.
