This is an full time role located on site in Dakar, Senegal

The Opportunity

This is a permanent role at the ASC. The ASC Executive Assistant provides logistic administrative and scheduling support to the ASC Director. Upon approval by the ASC Director, the Executive Assistant can provide administrative support to the ASC leadership including the Country Directors. It is a full-time role, located in Senegal.

How You’ll Contribute

What You Will Contribute in This Position:

  • Provide day-to-day logistical support, both on a personal and managerial level, to the ASC Director and other ASC leaders as may be approved by the ASC Director
  • Update the ASC Director daily on activities and priorities for the day / week / month
  • Supervise tasks on behalf of the ASC Director as instructed from time to time
  • Prepare meeting documents, meeting notes, and correspondences on behalf of the ASC Director as may be instructed from time to time
  • Coordinate, create and prepare presentations for reporting purposes, which include programs performance metrics and other data
  • Act as a project manager as instructed by ASC Director, for special projects, which may include planning and coordinating multiple presentations and disseminating information
  • Receive and sort incoming mail and deliveries, and manage outgoing mail, greet visitors, answer, and direct phone calls on behalf of the ASC
  • Coordinate and arrange travel, accommodation, paperwork, insurance, visas, etc. for the ASC Director and ASC leadership as required
  • Assist with financial reconciliations, cash & credit card payments, advances, and/or cheque vouchers with Accounting/Finance Department.
  • Support in translating documents, emails or other resources as may be requested from / to French
  • Draft general correspondences, memos, charts, tables, graphs, etc. Proofread for spelling, grammar, and layout, making appropriate changes as needed and support with blog writing, social media
  • Coordinate operational tasks for the office such as equipment maintenance, ordering supplies, mail, and shipping related to the ASC Director’s office
  • Draft and update approved notices on Navigator as may be required on behalf of the ASC Director from time to time
  • Update ASC organization chart and Navigator home pages as may be requested from time to time
  • Adhere to budget plans and provide accurate accounts of spending
  • Adhere to all HR, Finance, Operations, Safety, and Security procedures that govern the ASC
  • Support other ASC Manager/ leaders as needed.

  • Able to represent the ASC Director effectively with discretion, diplomacy, and independent judgement.
  • Must possess high level of interpersonal skills to handle sensitive and confidential situations and information.
  • Must be fluent in English and French and possess excellent oral and written communication skills in both languages.
  • Has self-initiative and the ability to plan and prioritize workload effectively, with a high degree of autonomy
  • Demonstrates competence in management of multiple projects simultaneously and able to organize and perform tasks without detailed direction and working with minimal supervision.
  • Has excellent cross - cultural communication abilities
  • Excellent team calendar management, planning, team coordination, organizational, administrative and time management skills

Education & Experience

The requirements listed below are representative of the education and / or experience required.

  • Successful completion of Mercy Ships Entry Training will be required within the first year.
  • Progressive management and administrative experience in a multi-cultural, international setting, preferably Mercy Ships. Experience in an Executive Assistant role for at least 2 years is desirable.
  • Must be fluent in English and French (International C2 level or equivalent) required.
