**Compensation Range for This Position Is $21 - $22.16/HR
Mercy Ships is seeking a Medical Review Specialist to support the end-to-end medical readiness process for volunteers, staff, and guests by transcribing protected health information (PHI) into the employee health portal, managing communications, and providing a high level of customer service. This role serves as the first point of contact for medical review-related inquiries and ensures efficient coordination and follow-up with applicants and relevant departments.
How You’ll Contribute
- Transcribe confidential protected health information (PHI), including immunization and medical history data into the employee health portal accurately and in a timely manner and meeting weekly targets for number of medical reviews processed
- Manage the processing of volunteer, alumni, staff and guest health reviews, ensuring all required documentation is received and processed.
- Provide exceptional customer service by responding to inquiries from applicants, volunteers, staff, and guests with clarity, professionalism, and care.
- Oversee and manage the flow of applicants through the external medical review provider dashboard, ensuring medical review cases are progressing and following up where needed.
- Collaborate with Volunteer Operations, Occupational Health, and other departments to address questions or resolve outstanding health review issues.
- Escalate complex or clinical concerns to the Medical Review Nurse or Medical Review Nurse Manager as needed.
- Ensure all records are maintained in compliance with data protection standards, including HIPAA and GDPR where applicable.
- Assist in the continual improvement of medical review processes, suggesting ways to improve service quality and efficiency.
- Assist with the functional development of the Electronic Healthcare System including updating the training manual and providing training as needed.
- Contribute towards the development and maintenance of Crew and Occupational Health medical review intranet space.
- Maintain statistical records including clinical data
- Assist with developing standard operating procedures and training material
- Other duties as assigned.

Fulltime Commitment & Availability
- This is a full-time professional position, and the candidate must be fully available during designated working hours. The candidate must not have competing commitments (such as childcare, secondary employment, or other daytime obligations) that would interfere with their ability to focus on work responsibilities.

- Fast-paced role requiring the ability to manage multiple priorities simultaneously and meet deadlines.
Some Travel
- Occasional travel may be required for staff training or conferences.

The Ideal Candidate
- Strong administrative skills and attention to detail.
- Proficiency with Microsoft Office Outlook and Word.
- Knowledge of medical terminology (Registered Nurse license not required).
- Proven ability to handle confidential information professionally.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and a commitment to delivering outstanding customer service.
- Experience using electronic systems and data entry platforms.
- Fluent in English essential, additional language skills beneficial.
- Advanced customer service skills including cross-cultural awareness, sensitivity to language and cultural diversity.
- Ability to work remotely with skills in time management, self-motivation, adaptability, administrative and operational proficiency while maintaining a strong work ethic.

Preferred
- Previous experience in a healthcare or volunteer-related setting.
- Prior occupational health or medical review administration including immunizations.
- Experience with Microsoft Office SharePoint, Excel and PowerPoint, and Microsoft Teams.
- Familiarity with HIPAA, GDPR, or other data protection and health privacy standards.
- Experience working with third-party providers or remote teams.
Education & Experience
- High school diploma required.
- Minimum of 1 year previous healthcare administrative or similar (medical review, clinical coordination, or occupational health) required.
- Successful completion of Mercy Ships Entry Training will be required within the first year.
Preferred
- Bachelor’s degree in healthcare, administration or similar.
- Experience with electronic healthcare systems/records.
- Prior experience with Mercy Ships.
