**This is a hybrid role that requires on site work in Lindale, Texas.
The Alumni Onboarding Specialist plays a crucial role in delivering an exceptional volunteer experience for returning alumni. This position focuses on managing the alumni onboarding process, ensuring that alumni feel valued, supported, and well-prepared for their next volunteer opportunity. The Specialist works closely with recruiting teams, national offices, ship leadership, and resource managers to ensure a seamless and efficient onboarding process. They will advocate for alumni volunteers, striving for excellence in every step of the journey, and actively contribute to process improvements to enhance the alumni experience.
How You’ll Contribute
Alumni Advocacy & Experience Excellence
- Serve as a passionate advocate for alumni volunteers, ensuring their journey through the onboarding process is seamless, positive, and fulfilling.
- Strive for excellence by consistently ensuring that alumni volunteers feel valued, supported, and recognized throughout their reapplication and onboarding journey.
- Actively listen to alumni feedback, addressing concerns and making adjustments to improve the overall volunteer experience.
- Promote a culture of excellence and care in every interaction with alumni, from initial reapplication to placement.
Process Management & Improvement
- Oversee the day-to-day management of the alumni onboarding process, ensuring that all necessary steps are completed on time and to the highest standards.
- Participate in identifying and implementing improvements to alumni onboarding workflows, focusing on streamlining tasks, reducing delays, and ensuring consistent quality.
- Regularly evaluate processes to identify bottlenecks or challenges and suggest practical solutions to address them.
- Collaborate with the Alumni Staffing Manager and other teams to refine onboarding procedures, ensuring alignment with organizational goals.
Collaboration & Stakeholder Engagement
- Work closely with recruiting teams, national offices, ship leadership, and resource managers to ensure alumni are well-informed and matched with the right opportunities.
- Ensure smooth communication and handoffs between departments, addressing any gaps or misunderstandings that may arise during the onboarding process.
- Collaborate with ship leadership and resource managers to ensure alumni are prepared and aligned with the specific needs of their next volunteer assignment.
- Partner with the broader volunteer experience team to maintain a consistent approach to onboarding that integrates volunteer satisfaction and operational needs.
Communication
- Provide training and guidance to alumni volunteers on onboarding requirements, expectations, and available resources.
- Deliver clear, consistent communication to alumni throughout the onboarding process, ensuring they are well-informed and confident about the next steps.
Problem-Solving & Support
- Serve as a point of contact for alumni volunteers who need assistance during the onboarding process, troubleshooting issues, answering questions, and providing guidance.
- Ensure that alumni have a clear understanding of the requirements and expectations for their upcoming assignments, offering support where needed to reduce barriers and uncertainty.
- Address any challenges or roadblocks alumni face during their reapplication or onboarding, ensuring they feel heard and supported throughout the process.
Continuous Learning & Personal Development
- Participate in ongoing professional development to stay current on best practices in volunteer management, onboarding, and alumni relations.
- Contribute ideas and insights to the team’s growth, continuously enhancing the onboarding process and volunteer experience.
- Other duties as assigned.

- At least 1 year of experience in volunteer coordination, human resources, or a related field.
Preferred
- Experience working with alumni programs, volunteer management systems, or international organizations.
- Familiarity with applicant tracking systems or other HR-related software.
- Experience in working with cross-functional teams in a global nonprofit environment.
- Successful completion of Mercy Ships Entry Training will be required within the first year.
