Procurement Coordinator Medical
Summary:  To assist in fulfilling the overall vision of Mercy Ships through the acquisition of donated or purchased supplies and equipment for our operating locations.

Essential Duties And Responsibilities (Include But Not Limited To)

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Assist the Procurement Department to build, maintain, and expand vendor contacts to obtain donations or negotiate to get the best price possible.
  • Maintain relationships with corporate sponsors - sending thank you letters.
  • Support Medical Planning Team through coordinating procurement aspects and efforts to the global operating locations with Mercy Ships. This includes being knowledgeable and proficient in the use and data maintenance of the Mercy Ships inventory management system.
  • Maintain close liaison with the Medical Planning Team and the Procurement Manager to assist with the efforts as required to properly documenting procurement efforts.
  • Maintain coordination with the logistics operations across all Mercy Ships locations.
  • Advise the Procurement Manager on issues to ensure that requirements are satisfied at the most economical means possible
  • Pursue lowest possible cost, including Gift in Kind donations and discounts and lower cost of goods. 
  • Maintain updates in vendor management and inventory systems, pricing, SDS sheets, order tracking and reconciliation.
  • Provide new item information sheets to Planning team.
  • Maintain proper records of vendor pricing, product specification, product lists and correspondence related to vendor bidding process.
  • Complete all entries into donation system for Gift in Kind donations
  • Monthly reconciliation of all donor entries.
  • Keep communications current to ensure customer (ship's) support.

  • Ability to read, analyze, and interpret common medical journal and/or documents preferred.
  • Excellent interpersonal, written and verbal communication skills.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Excellent computer skills using Microsoft Word, Excel, and Outlook while willing to learn the Mercy Ships inventory management system.
