Remote Administrative Assistant to the Director of Patient Selection. Additionally, the Patient Selection Administrative Assistant supports the Global Patient Selection Team, in the areas of finance, supply, HR, process documentation, and processing of online patient referrals. This is a Remote position, with the expectation to travel one to two times a year to connect with the team and Mercy Ships mission.

 

How You’ll Contribute

  • Assist Director of Patient Selection to keep the internal website up to date in terms of patient selection information and documentation of processes and policies
  • Coordinate CERTIFY training and assist teams with cash reconciliation and approve cash reports where needed
  • Manage requests for all IS equipment, medical supplies, and office supplies
  • Support GPST with travel requests, where needed
  • Support GPST with HR-related questions, maintaining record of PTO and other benefits to ensure all are implemented by HR ISC
  • Coordinate new staff support: HR, onboarding registration, IS access and training processes
  • Managing patient referrals including the patient referral Mercy Ships email, responding with compassion and sensitivity
  • Support Director of Patient Selection in planning of team training
  • Assist in creation and monitoring of country and team budgets
  • Supports the Director of Patient Selection by taking meeting notes and report writing
  • Supports the GPST in report writing.
  • Assist in composing letters, e-mails, and memos. Respond to individuals needing written communication. Compose documentation when requested by Director of Patient Selection, ensuring all correspondence is handled in a timely manner.

  • Understand and apply servant leadership, work collaboratively with integrity, and demonstrate accountability while working remotely.
  • Expert skills with Microsoft Office products such as Outlook, Word, Excel, PowerPoint, Sharepoint, and Teams
  • Intermediate to expert skills in using online banking program, like Certify
  • Intermediate to expert skills in uploading, editing and managing online content on internal platform.
  • Strong learning skills.
  • Must be fluent in English and possess excellent oral and written communication skills
  • Ability to plan, prioritize, and workload effectively, with a high degree of autonomy
  • Strong online communication skills through, calls and online communication platforms like Teams
  • Familiarity with medical terminology beneficial, but not required
  • Requires flexibility and sensitivity to language and cultural diversity
  • Available for at least 5 hours of the day in GMT+1 time zone

     

    Education & Experience

  • Successful completion of Mercy Ships Entry Training will be required within the first year.
  • Minimum two-years’ experience in an office setting as an Administrative Assistant, preferably in a healthcare setting
  • Previous Mercy Ships experience preferred, but not required.
