**This is an ONSITE role in Lindale, Texas.

 

The Process Administrator will support Mercy Ships’ mission by managing, optimizing, and maintaining operational metrics that support campaign analysis, expense tracking, and state marketing compliance efforts. The ideal candidate will be proactive, detail-oriented, and highly organized, with a strong grasp of data management, and nonprofit operations.

 

How You’ll Contribute

  • Maintain and update metrics dashboards for donor engagement, campaign performance, and departmental KPIs.
  • Monitor compliance with state charitable solicitation regulations and manage timely filing and renewal of state fundraising registrations.
  • Assist in the creation, tracking, and reconciliation of budgets, invoices, and departmental reimbursements.
  • Serve as a liaison between the fundraising, marketing, finance, and legal teams to streamline processes and ensure information flow and alignment.
  • Prepare presentation decks, donor reports, and internal briefs as needed for senior leadership.
  • Other duties as assigned.

    The Ideal Candidate

  • Bachelor’s degree in Business Administration, Nonprofit Management, Marketing, Communications, a related field, or equivalent experience.
  • Experience in process coordination, operations, or administrative roles—preferably within a nonprofit or fundraising environment.
  • Familiarity with donor management systems (e.g., Raiser’s Edge, Salesforce NPSP, DonorPerfect, or similar platforms) and marketing tools (e.g., Mailchimp, Pardot, or HubSpot).
  • Strong analytical and problem-solving skills; ability to interpret data and make recommendations.
  • Excellent communication and interpersonal skills, with the ability to work effectively across diverse teams.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities in a deadline-driven environment.
  • Proficiency in Microsoft Office Suite, especially Excel and PowerPoint; experience with project management software (e.g., Asana, Trello, orMonday.com) is a plus.
  • Understanding of nonprofit compliance requirements related to fundraising and donor communications is highly desirable.
  • Ability to think proactively, identify areas for improvement, and contribute to building more efficient, scalable processes.
