This is a HYBRID role that requires on site work 3 days per week in Lindale, Texas.

 

**Compensation Range for This PositionIs $19 - $20.70/HR.

 

Mercy Ships is seeking a Volunteer Staffing Schedule Coordinator to maintain, monitor and optimize the placement of volunteers into scheduled roles. This role ensures that open positions are accurately tracked, schedules are up to date, and placement decisions align with organizational needs. The coordinator will act as the central point of contact for schedule-related updates, working closely with the recruiting team Volunteer Recruiting and Onboarding teams, Resource Managers, and ship P&C to ensure smooth and efficient volunteer assignments. This is a hybrid position, requiring a combination of in-office and remote work.

 

How You’ll Contribute

  • Schedule Management and Tracking
  • Maintain and update volunteer staffing schedules to reflect real-time openings and placements.
  • Track all open positions, filled roles, and pending placements.
  • Ensure scheduling aligns with departmental needs and operational requirements. Maintain scheduling accuracy by ensuring staffing plans correspond with approved headcount in the approved staffing formations, ship schedules, and business critical operational requirements.
  • Identify scheduling gaps and proactively address potential shortages.

    Communication and Coordination

  • Serve as the primary point of contact for schedule-related inquiries from internal teams.
  • Collaborate with the recruiting team Volunteer Recruiting and Onboarding teams and Resource Managers to ensure volunteers are placed efficiently into available roles.
  • Provide regular updates to resource managers, department leads heads and national offices regarding staffing needs.
  • Communicate any scheduling conflicts or urgent placement issues to relevant stakeholders.

    Process and Data Management

  • Ensure accurate and consistent record-keeping for all volunteer placements.
  • Utilize scheduling tools and systems to track placements and forecast staffing needs.
  • Work with data management teams to streamline scheduling processes and reporting.
  • Assist in refining and improving the scheduling process for greater efficiency.

    Collaboration and Reporting

  • Provide reports on staffing schedules, highlighting key trends and potential challenges.
  • Work closely with other staffing team members to align priorities and ensure volunteer placement success.
  • Collaborate with Global Recruitment Sector Leads and Resource Managers in staffing team meetings and contribute insights to improve scheduling operations.
  • Support leadership with data-driven recommendations for optimizing volunteer placement.

    Organizational Alignment and Compliance

  • Maintain alignment with Mercy Ships Core Values, Code of Conduct, and follow all policies and procedures published on Compass.
  • Ensure compliance with all volunteer credentialing, background checks, and onboarding requirements.
