Donor Services Specialist
Summary:  Provide clerical assistance and data entry tasks in support of Donor Services Department including: Researching and processing mail donations; adding new Donors; updating Donor accounts and information; Receipting donations; maintaining and ensuring data integrity; Setting up Tributes; prepare various reports as needed.  Answering and assisting with phone calls from Donors and Mercy Ships Staff.

This position is fully on-site at our ISC in Lindale, TX. The pay range for this hourly position is $16.00-$18.00.

Essential Duties and Responsibilities (Include But Not Limited To)

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Sort, open, code, batch and enter into DPO Donor records all checks, money orders, cash and No Money Batches, ensuring each batch is validated and recorded on Daily Batch Reconciliation Sheet.
  • Research and code on-line Bill Pay Checks.
  • Add individual credit/debit card or ACH donations into DPO Donor records through Insta-Charge.
  • Add new Donors and update Donor information.
  • Assist with Receipting donations as needed; mechanically and manually fold, stuff, seal and stamp all Receipts.
  • Set up Tributes for In Honor Of and In Memory Of donations.
  • Balance Daily Batch Reconciliation Sheet at the end of each workday with Daily Cash Template report produced in DPO. Troubleshoot any issues that may cause the report not to balance.
  • Conduct second balancing on the next workday morning for the previous workday and input and e-mail these figures onto the Daily Cash Tracking report.
  • Answer telephone calls from Donors and others at Mercy Ships which entails many types of Donor record activities.
  • Returned Mail processing for mail returned due to “Temporarily Away.”
  • Maintain daily Metrics and submit to Donor Services Manager on a monthly basis.

  • Highly motivated, well organized and detail oriented with strong verbal and written communication skills. Ability to define priorities and handle confidential information while ensuring the privacy of Donors and Staff.
  • Ability to multi-task and be flexible and open to changes in processes; ability to handle numerous interruptions; ability to work effectively with a dynamic team serving Donors and Staff.
  • Computer proficiency with Microsoft Word, Excel and non-profit, fundraising software. Good typing and 10-key calculator skills.
