Summary
Provides high-level administrative, project and data analysis support for the Vice President of Human Resources and the HR team.
HR Business Function:
- Provide employee verifications for ship crew when requested
- Conduct background checks for ship crew and record findings
- Handle confidential and non-routine information
- Be the administrative point of contact person for our health insurance provider (TTc) for ship crew
- Assist the HR team by extracting and analyzing report data
- Act as project manager for special projects, which may include planning events and coordinating reports and presentations
- Maintain departmental metrics and other regular reports
- Participate in the preparation and administration of budgets
- Send thank you letters to departing ship crew
- Serve as internal auditor as needed
Departmental Administrative Support:
- Assist with the upkeep of departmental documentation
- Schedule and plan departmental events
- Collect time sheets and payroll data
- Disperse mail and manage petty cash
- Oversee the maintenance of office equipment and maintain the inventory of office supplies
- Set up meetings, set agenda, take minutes, and distribute.
- Answer phone as needed for Vice President; take messages or field/answer all routine and non-routine questions
- Coordinate travel for the VP of HR (as needed)
- Other duties as assigned
