Crew Financial Accountant
Summary:  Responsible for overseeing the financial and payroll functions for all of our volunteers, including supporting them in their personal fund raising

Essential Duties and Responsibilities (Include But Not Limited To)

Payroll

  • Responsible for all payroll and payroll tax activities, including compliance with local, state, out of state, and federal regulations and filing local, state, out of state, and federal payroll tax returns. 
  • Maintain timely filing of all payroll and payroll tax reports including but not limited to: 941’s, W4’s, W2’s.
  • Maintains payroll history files for employees.
  • Manage and process funding to the Ship(s) by wires, and direct deposit accounts via ACH transmissions.  
  • Administer Crew Bank Accounts and ISC/Ship Accountable Reimbursement Plans. Processes all employee taxable and non-taxable reimbursements.
  • Process all Mission designated funds. Work in conjunction with Foreign Offices/ Donor Services/ ISC Payroll and Human Resources to assure compliance with Non-profit regulations.
  • Assists in the automation of the payroll System with IS Department.
  • Back up ISC Payroll

Accounting

  • Responsible for calculation and reporting of tax liabilities, in responding to questions and special requests from employees and regulatory agencies, in researching laws and regulations regarding taxes and payroll withholding procedures, and in reporting to Accounting Manager and Controller.
  • Performs all duties required to include balancing and controlling earnings and deductions totals, calculating and preparing general ledger entries.
  • Provides information and assistance to Mercy Ships personnel at all locations and National Offices regarding applicable departmental policies, rules and procedures. Works closely with the Controller and Chief Financial Officer interpreting financial policy, providing recommendations, and solving financial problems of a complex and/or sensitive nature.
  • Oversees Mercy Ships Financial Aid Program by administering the application process and disbursement of funds to eligible staff, and evaluating the financial need of those on the program.
  • Creating, maintaining and communicating with non-US crew regarding the tax implications for the crew member.
  • Manage Accountable Reimbursement Plans by evaluating policies and procedures to assure compliance with Mercy Ships objectives, communicate with applicants and crew to assure their understanding of the program objectives and procedures, and reviewing all submitted expense reports to assure compliance with established polices.
  • Assist with internal payroll and accounting audits.

Volunteer Support

  • Work with Learning and Development to develop and maintain helpful personal support raising training materials for new and current crew
  • Work with Global Brand and Marketing to offer toolkit for support raising (newsletters, set up on website, etc) for new and current crew
  • Be the point person to assist with questions/support
  • Other duties as assigned

Qualifications (Knowledge, Skills, Abilities, and Requirements)

The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Working knowledge of modern financial record keeping principles, procedures, methods, and terminology pertinent to not-for-profits, including complex computerized financial systems; of related general clerical filing, indexing, and cross-referencing methods and procedures.
  • Must have working knowledge of preparation and filing procedures for federal and state quarterly and annual payroll reports. Must be familiar with benefit maintenance, reconciliation, premium payment, and reporting procedures.
  • Ability to interpret, and explain policies and procedures pertaining to the work, including reports produced by data processing equipment; to use expenditure and revenue code procedures; to understand and reconcile payroll records; to balance and reconcile accounts; to perform machine calculations with speed and accuracy; to do complex clerical work; to carry out oral and written instructions; and to establish and maintain cooperative relationships with those encountered in the course of work.
  • Prior Mercy Ships or missions experience is a plus.
  • Must have a strong ability to listen; be direct when needed, but able to show compassion when necessary.
  • Must have strong time management and administrative skills.

Education and Experience

The requirements listed below are representative of the education and / or experience required.

  • High School Diploma required, Degree in Accounting preferred.
  • 3 or more years of experience in Payroll Administration
  • Work in a multiple payroll environment a plus
  • FPC or CPP preferred
  • Successful completion of Mercy Ships Entry Training will be required within the first year.
